How to approve or reject a booking request

Review and approve or reject guest booking requests at your venue.

Some venues use a request-and-approval workflow. When a guest books at your venue, the booking isn't confirmed automatically β€” you review it first and approve or reject.

Where to find pending bookings

  1. Open your venue dashboard

  2. Go to the Bookings section

  3. Filter by Status: Pending to see all requests waiting for your action

On desktop, bookings appear in a sortable table. On mobile, they appear as swipeable cards.

Approving a booking

  1. Find the pending booking

  2. Review the details: guest name, date, time, number of attendees, booking type

  3. Click Approve

What happens next: The booking status changes to "Confirmed," payment is captured from the guest, and they receive a confirmation email with their ticket and QR code.

Rejecting a booking

  1. Find the pending booking

  2. Click Reject

What happens next: The booking is cancelled, any payment hold on the guest's card is released (they are not charged), and the guest receives a notification that their booking was not approved.

Tips

  • Respond promptly β€” guests are waiting to confirm their plans. Pending bookings with no response leave guests in limbo.

  • Check your dashboard regularly β€” or ask your team to keep an eye on it if you're away

  • Disputes: If a guest contacts you about a rejected booking, try to resolve it directly. If that doesn't work, contact One Coworking support via the in-app chat.
